National Rally Day - Ontario

National Rally Day is a chance to link Girl Guides of Canada-Guides du Canada Members in a celebration of Guiding and our 100th anniversary. On May 15, 2010, Girl Guides across Canada will join together in large scale events in each province. www.2010.girlguides.ca

In keeping with the national direction, Rally Day across Ontario is meant to be as large a gathering as possible of our members in celebration of our 100th Anniversary. Large events are remembered for many years as being special, with the girls feeling that they are a part of something larger than their immediate community. In order to accommodate widespread attendance, maximize publicity about Guiding and also to be able to deliver the most cost effective event possible, Ontario Council has decided to hold Rally Day in four locations;

Toronto - Ontario Place - 7657  and counting!
Sudbury - Bell Park - 486 and counting!
Ottawa - Parliament Hill - 1563  and counting!
Thunder Bay - Current River Park -119 
and counting!

9:00 a.m. – 6:30 p.m. *
(* each locations time may vary, timing will be sent out in Confirmation Package One)

*Ontario Place will be closed to the public on May 15, 2010. All Rally Day participants must be preregistered.

As Rally Day will be the focus of the May 15 weekend, Guiding properties across Ontario will not be available for booking unless it is a sleepover accommodation for those attending Rally Day. We also request no other events are running that weekend.

We know that there may be interest in more local celebrations of the 100th. Wonderful, however the weekend of May 15th is ‘reserved’ for the National Rally Day celebrations. Local Specialty Communities wishing to plan local events should consider other dates.

Who can come and how much will it cost?
$35 each for active Girl and Adult Members and parents as part of your supervisory team.

You may choose to fundraise with your girls in order to assist with the cost of attending. Just like a trip to camp, you can plan to fundraise to offset the cost, determine how much may be offset and communicate with the parent the "plan" and the estimated amount.

Units registering prior to March 1 can defer payment until that date. Unit payments will be transferred from centralized banking on March 1, 2010. Unit registration received after March 1 until the 21 will have payment transfered three to five business days after the registration.

All Units must register online and provide payment using Unit banking transfer function. As of March 2, 2010, registration will open for all Adult Members who are not volunteering or attending with a Unit.

How do I know what Rally Day Location to attend?
Units are asked to attend the Rally Day as indicated on the map below.

Can we attend another Rally Day Location:
We are encouraging Units to attend a specific location in order to optimize transportation and also wish to ensure that we do not exceed venue capacity. Should your Unit choose to attend Rally Day in another location than suggested due to extenuating circumstances we will handle the request on an individual basis. Please contact program.manager@guidesontario.org with your request. Requests will be processed once we determine that girls in the original catchment are accommodated. In some cases your registration will be confirmed as late as March 1, 2010.

No changes to existing registrations can be made after February 22.

A girl in my Unit wants to attend but I am not taking my Unit, can she register without me?
There is no individual girl registration as we must meet Safe Guide ratios. Girls must be registered with a Unit. Perhaps she can register with another Unit going from your community? Guiders are encouraged to attend so girls don’t miss out on this event!

Can I register using a Credit Card, my P-Card or cheque?
Units must pay using Unit Transfer function. This means you must be set up on the Centralized Banking System. Click here for more information about setting up a Unit Banking Account. Adults only registering after March 2 2010 may use a personal credit card.

Confirmation Package Two– Provided at Rally Day location:
• Meal Tickets
• Colour-coded wrist bands for your group (these will indicate in which “Zone” you would begin)
• Printed site map
• Printed Emergency Procedures for the day
• Rally Day Passport for each participant

Registration fees for cancellations within one month (Beyond April 15) of the event are only refundable under special circumstances. If a refund is expected, a request must be received, in writing, at Ontario Guide House, within 30 days of the event, and must include supporting documentation such as a doctor’s note or death certificate.

For Adult registration :  An administration charge of $25.00 will be applied for each NSF cheque received.

Parent Letters
Use the following letter templates to create your own letter to parents. If you live in an area where busing is being provided (check the bus route and registration form) choose the Letter to Parents (with transportation) version. If you are using local transit or other means of transportation choose, Letter to Parents (no transportation).

To assist parents in making payments think about setting up three installments. Remember to subtract any fundraising that your Unit has done from the Rally Day cost when setting up an installment plan.
Remember this is only a template and your Unit may have other information you would like to share with parents about Rally Day that could be added.

Your Unit can win free registration to Rally Day! Wondering how? It’s easy! Together as a Unit, create a piece of artwork that embodies the spirit of 100 years and the Guiding Movement! Submissions can be photographs, PowerPoint presentations, videos or anything else as long as it can be e-mailed! The submission must be e-mailed to program.coord@guidesontario.org. The deadline is March 1, 2010. A random draw will be used to choose the winning Unit. Submissions will be used at Rally Days across the province, so please make sure that if you are using pictures of girls, that they have their IR.1’s recorded in iMIS.
