The Thinking Day Postcard Exchange has been running for 12 years and the 2009 exchange
will begin the first part of September 2008. Last year, the exchange had 2961 US troops and
1057 International Units (from 49 countries) participating. To learn more about the program or

Safe Guide - Important!

Safe Guide Update

The recent edition of Canadian Guider delivered in August 2008, included a CD-Rom on
the inside back cover. This CD includes your copy of Safe Guide 2008 including a new
set of forms. As you may have heard the new Safe Guide categorizes activities into three
activity levels: Green, Yellow or Red. If you have any concerns with how this relates to the
old “level” system, you can refer to the transition guide posted on the National website in the
MemberZone at https://memberzone.girlguides.ca/C5/Safe%20Guide%202008/default.aspx

After September 1, 2008, activities should be submitted on new forms

All activities submitted on old forms before September 1, 2008, will be accepted. Guiders
will not need to re-do the forms. After this date, use the new forms which are user friendly
and easier to complete.

Assessors who receive forms for activities that no longer require authorization will get in
touch with the Guider to confirm that she has the new Parent/Guardian Consent form signed
for girls in the Unit so that the activity can go ahead. If not, the Guider will need to have the
new Parent/Guardian Consent signed before the activity can proceed (A.5).

How to submit Safe Guide forms in Ontario

Ontario’s various Safe Guide Assessment teams are made up of dedicated volunteers.
Lori Prospero is the Volunteer Provincial Safe Guide Coordinator. If you have questions
on the Safe Guide process in Ontario you can email Lori at sgacoordinator@guidesontario.org

Important change from last year: All forms for Yellow and Red activities should come to an
Assessor through the provincial office by emailing safeguide@guidesontario.org or faxing
your forms to 416-920-1440 ATTN: Safe Guide.

SAFE GUIDE 2008 AMENDMENTS
Over the Counter Medication (OTC)

With the introduction of Safe Guide 2008 there was an amendment which included the administration of over the counter medication (OTC) for girl Members while travelling. The change in procedure was enacted as a protection for both the Guider and the girl Members. Safe Guide 2008 as posted on the website and distributed through Canadian Guider included a procedure where girls under the age of 12 would require a note from their doctor in order for Guiders to be involved in the administration of over the counter medication. The administration of over the counter medication would then follow the procedure in place for prescription medication. Our consultation informed us that girls do choose to take over the counter medications with their parents' consent, therefore, the procedure also included that girls over the age of 12 can direct their own care. A process to manage this is included in Safe Guide.

This amendment has raised dialogue within the field which was brought forward for further consideration. We have compiled the feedback and research on the issue and will forward it to our Board of Directors. A decision will be made on this issue at the Board meeting in October 2008.

Until the final decision is made on a Guider’s role in the administration of medication, GGC is asking that all Guiders follow the Safe Guide 2004 procedures on medication, including over the counter medication. If you are unaware of the procedures in the 2004 document, please see the Safe Guide page on MemberZone.

Police Records Check (PRC) for Home Contact Person

Please be advised that the requirement for a Home Contact Person (HCP) to have a PRC has also been changed. HCPs will no longer require a PRC to assume this role. An HCP will be required to register as a non-member volunteer. The process has been revised, The Non-Member Volunteer form (A.7) will be revised to include a confidentiality statement. Information from the A.7 will be entered into iMIS.

Safe Guide reminders

Over the past several months, Safe Guide Assessors have shared common questions and
misconceptions received from Members. As a result, please review the following reminders
to help make our assessment process more efficient and less time consuming for you.

• Our Program Administrative Assistant, Marika Hill, monitors the safeguide@guidesontario.org
e-mail address and is a great support to all Members and our Safe Guide Assessment teams.
However, please note that she is not an assessor and therefore must forward your paperwork
and any questions to a member of our team for response.
• Safe Guide Assessors do not have access to iMIS and therefore cannot look up qualifications
in iMIS. If requested please forward hard copies of qualifications.
• In some cases, the Safe Guide Assessor will contact you by e-mail or phone to request
clarification or additional information. Please follow up with her as soon as possible so that
she can complete the assessment of your activity.
• After you submit your activity for review please contact: safeguide@guidesontario.org
if you have not heard back from an assessor within one week of your submission.
Don’t wait
until the day before to confirm whether or not your forms were received.
• If you have not received authorization for your activity at least three days prior to your activity
date, please contact safeguide@guidesontario.org to request a status update.
• If taking a first aid course or recertifying your qualification, please review the Safe Guide to
ensure that you are taking the correct type of first aid training. Some activities require or
recommend Emergency First Aid; others require or recommend Standard First Aid training.
If you have received a certificate for a First Aid training your Unit Administrator can also
update your iMIS record if you forward her a copy of the certificate!
• If you have received notice that your police records check (PRC) has expired please submit
a new one as soon as possible. Your Unit Administrator can help you with this! You must have
a current PRC to participate in Guiding activities.
• Please confirm with Non-Member volunteers that they have submitted a current PRC. It would
be helpful. The Non-Member needs to complete an A.7, be recorded in iMIS by the Unit
Administrator and complete and submit a PRC. Your Unit Administrator can help you with this
process.

We thank you for all the time and hard work you put into following the Safe Guide procedures
and especially for all the great fun and exciting activities that you offer as part of the Guiding
program in your community. We are confident that Safe Guide 2008 will ease the burden on
our Members and know that together we can have a smooth transition.


Membership


IMPORTANT CHANGES FOR SEPTEMBER 2008
For safety and risk management purposes, it’s important that we have accurate records for
all Members. In order to improve the accuracy and timeliness of membership records, Girl
Guides of Canada is implementing the following changes to the girl registration process:

• The new A.5 Girl Registration Form and Parent Guardian Consent has been modified to
include all branches and Lones. The new A.5 form is available on the national website at
http://forms.girlguides.ca/default.aspx
.
• As part of the new Safe Guide, the A.5 also includes a new blanket parent/guardian consent
that covers common, community-based Guiding activities. This form must be signed for all girls,
including those who registered at the end of the last Guiding year.
• Completed A.5 forms must be forwarded to the local community office within 30 days of the
date received. The information will then be entered into iMIS within two weeks (14 days).
• Guiders will be able to access their up-to-date unit roster within three weeks of submitting
their A.5 forms to their local community office.
• Guiders will only retain the H.1 Personal Health Form for girls in their unit. The H.1 now
includes the permission to pick up girl section. The H.1 will also help to keep track of girls in
a unit while the information is being entered in iMIS. The new H.1 form is available on the
national website at http://forms.girlguides.ca/default.aspx. This form should be securely
destroyed at the end of the Guiding year.
• A girl may only attend one unit meeting before submitting her A.5 form. A letter to parents
is posted on MemberZone to help facilitate the registration process.

These changes will help to streamline the registration process and will ensure that up-to-date
records are available at all times throughout the year.

REGISTRATION FEE SUBSIDY
The Request for Fee Subsidy form is now available and can be found online at
http://www.guidesontario.org/forms/feesubsidy.pdf.

Subsidy Available: The registration fee for the 2008-2009 Guiding year is $125. Families are
required to pay a minimum of $45 for each girl registering. The remaining $80 is eligible to be
considered for subsidy.

How to Apply: Registered girls are welcome to attend meetings with their unit while the
application is being processed. At the time of registration, parents are asked to identify
on the payment form that subsidy is being requested and submit the minimum payment
of $45 with the subsidy application. This payment can be made in installments, according
to the schedule outlined on the Annual Registration Fee Payment form. Please note that
the $45 is non-refundable and non-transferrable.

A reminder to Pathfinder and Ranger Guiders
It is not too late to submit the names of girls who have achieved their Canada Cord, or
Chief Commissioner’s Gold Award and/or Commonwealth Award. Membership is committed
to making sure every girl in the province who has achieved these awards in 2007-2008
receives their Canada Cord certificate or Chief Commissioner’s Gold Award certificate
and letters from the Premier’s and Lieutenant Governor’s offices.

If you have not already done so, please send the following information to your Unit Administrator
by e-mail or letter as soon as possible, for all girls in your unit who have completed their
Canada Cord, Chief Commissioner’s Award and/or Commonwealth Award during 2007-08:
• girl’s name,
• iMIS number,
• name of award and date of completion of the award.

As girls complete awards, Guiders are asked to forward the girl’s name, iMIS number, name of
the award and date of completion of the award to your Unit Administrator for entry into iMIS.

KINDERSTART PILOT PROJECT
Membership Development, in partnership with the Kinderstart Task Group and Communities 34
and 37, are piloting the Kinderstart Project this month. Based on an initiative done in Newfoundland,
the aim of the Kinderstart Project is to attract Spark-aged girls to Guiding. A letter outlining the
Sparks program has been sent to targeted schools in Communities 34 and 37. The letter invites
parents to consider the Sparks program for their daughters. Details of the results of this pilot will
be collected to determine the success of the pilot and the potential for expanding this for 2009.

Membership Development has partnered with Girl Guides of Canada for additional advertising

GIRL GUIDE OPEN HOUSE – ADULT RECRUITMENT DAYS
On Saturday September 13th we will be hosting Open Houses across Ontario. The goal of the
day is to increase our adult membership and support those who have already started the
application process. Potential Members can drop in and find out what Guiding is all about,
what it means to be a leader and what we have to offer. Guiders will be on hand to answer
questions and help women complete the adult membership process.

This year, the International Plowing Match and Rural Expo will be hosted in Teeswater.
This event moves around the province from year to year and offers a wonderful opportunity for
Girl Guides of Canada, Ontario Council to showcase our talents. The Membership team is in
need of local expertise and assistance at this event:
   • Be part of a team to staff the GGC booth,
   • There are many shifts to cover…the more the merrier!
   • Free admission for the day - enjoy the match and/or crafts and displays before and after your shift.

October 2 to 5 – Markham Fair, Markham, ON
Markham Fair is one of Canada oldest country fairs! Since 1844 the fair has been providing
the community with a showcase for talents and products in a friendly competitive spirit. We are
looking forward to joining in the fun!

This fair is held annually on the weekend before Thanksgiving, and hosts upwards of 60,000
attendees.

A local organizing team is already hard at work and they would welcome your participation.

change it to the correct number of years.
Step 6: Click “update”
Step 7: A window box will appear saying, “Demographics Inserted Successfully”

Step 9: Have another look at your profile to make sure that everything else is current and
correct. If so, that’s all there is to it. If not:
Step 10: Click “edit” and make your revisions. Go back to Step 6.

provides access to self-guided web-based training and a form to begin the process
of setting up the Unit or Guild on the new system. This conversion must be completed by
December 31st 2008.

We know you have great ideas for your local events. Please share them with the
Membership Development team, as well as your ACL. The best plan for your Community
may be a centralized event or a number of smaller events based on your Community’s
identified need.

Membership Development wants to provide support for your events and there is some
funding available. Please include the following information in your application:
   • Contact for the event – Guider name, phone number and e-mail
   • Date and time of the event
   • Administrative Community and location of event
   • How many Units are participating – please include the names of the Units
   • Is this event only for registration, or combined with another activity?

Advertise for fall registration?
In addition to supporting your registration events, there is also some funding available
for advertising registration.
Please include the following in your application:
   • Will this be a published ad, or a flyer for distribution?
   • Provide as much detail as possible regarding the actual ad or flyer, i.e. size of ad,
focus on girl/adult/both, date to be published, approx. cost, existing artwork
   • Will the publication create the ad or do they require that you submit camera-ready copy?
   • Artwork must be pre-approved for funding to apply, therefore, please allow enough time
for your submission to be reviewed by the provincial Membership Development team.

Global Events

34th World Conference
The 34th World Conference will be held in Edinburgh, Scotland in 2011.

WAGGGS now has 145 Members
Six new countries have become Full Members of WAGGGS including our twinning partner
Dominica. The other countries were – Burundi, Chad, Hungary, Malawi and Russia. The
Democratic Republic of Congo, Lithuania and Syria were granted Associate Membership.
Unfortunately Samoa and Vanuatu’s memberships were cancelled.

Centenary Theme Announced!

The Centenary theme is "girls worldwide say 100 years of changing lives"
2010 is Plant – introduce
2011 is Grow – Expand
2012 is Share – pass on
These themes set the tone, goals and challenges for the Member Organizations and
WAGGGS to help the Movement towards achieving its goals.

There will be a series of Centenary Badges – one for each year and one base one.

A Celebration Day will take place on April 8 from 2010 to 2012. We are encouraged to address the centenary elements and friendship, fun and challenge in our celebrations.

A Young Women’s World Forum will be held in each of the centenary years for 18 – 25
year old Members. In 2010 it will be in the UK, in 2011 at World Centres and in the USA in 2012.

Global Action Theme 2009 – 2011
Girls worldwide say “together we can change our world” is the new WAGGGS Global Action
Theme (GAT) which is based on the UN Millennium Development Goals (MDGs), which aim
to improve the lives of the world’s poorest people.

The key messages are:
girls worldwide say
“ together we can end extreme poverty and hunger”
“ education opens doors for all girls and boys”
“ empowering girls will change our world”
“ together we can save children’s lives”
“ every mother’s live and health is precious”
“ we can stop the spread of AIDS, malaria and other diseases”
“ we can save our planet”
“ we can create peace though partnership”
There will be guidelines and a Global Action Activity packs and badge available to all
Member Organizations to help them to take action.

World Thinking Day Themes
The theme for the next three World Thinking Days are:
2009 - girls worldwide say “we can stop the spread of AIDS, malaria and other diseases.”
2010 - girls worldwide say “together we can end extreme poverty and hunger”
2011 - girls worldwide say “we can save our planet”

Provincial Recognition Ceremonies Task Group Member
Work with the Provincial Membership Support Adviser and the Task Group Chair
to identify appropriate locations in Ontario to hold ceremonies to present
awards to girls and Guiders – consideration of larger populated centres may
provide opportunities for venue selection and convenience for attendance.

International Showcases 2009 Task Group Chair
This Task Group Chair will be required to form a committee
to plan an International Day to be held in fall 2009. The Task Group will be
responsible for organizing activities and content for 5 International
Showcase events which will take place on the same day across the province.
The Showcases will target Guide age girls and educate them about what
International Guiding is all about and include displays by previous travelers.
This task group will start January 2009.

Ontario Guide Adventure 2011 Task Group Chair
The International section is seeking two Task Group Chairs to form a
committee to plan an International focused event to be held in Ontario
that will promote International education and awareness with our younger
Members. One task group will organize an event for Guide age girls and the
second task group will organize an event for Pathfinder age girls. These
task groups will start Fall 2009.

Watershed CSI Challenge Development Task Group
Enthusiastic Guiders with a passion for protecting our water are needed
to create this fun, hands-on challenge.
   • We are looking for Guiders with knowledge of watersheds and water systems.
   • We need Guiders who have a strong knowledge of girl programs
     (representatives from all levels)
   • Guiders should have a girl-centered, hands-on approach to programming!
   • Creativity welcome
   • Familiarity with water protection agencies an asset (although not required)

Go Green Girl Challenge Development Task Group
We are looking for creative and environmentally passionate Guiders to
develop this challenge which will encourage all girl and adult members to
become more environmentally friendly within our Guiding Units and events.
   • Need Guiders who have a strong knowledge of girl programs (all branches)
   • Need adult Guiding member(s) to represent the needs and interests of
     Trefoil Guild and Link
   • Must have a strong interest in/solid knowledge of environment and
conservation issues and be willing to look at creative ways to apply this to our programs.
   • Volunteers should have a girl-centered and hands-on approach to programming.

Unit to lead trips to Canadian and/or international destinations and want
to find out how to get started and what kind of planning assistance you
will receive from the Provincial Office, please contact the International

Local help needed with Provincial Recognition Ceremonies
The Recognition Ceremonies Task Group (Membership Support) is pleased to
announce the next two provincial awards ceremonies, now scheduled for the fall
of 2008: Ottawa – Sunday October 19, 2008 and Kitchener-Waterloo –
Sunday November 16, 2008.

If you live in the Ottawa or Kitchener-Waterloo areas and you
are interested in working with the local organizers of these events,

Calling all girls 14 years old (or almost 14) to 25 years old, get yourself a 2Fer! What’s a 2Fer?
A 2Fer is getting 2 things for the work of one. Did you know that your program work in
Pathfinders and Rangers runs parallel with the requirements to earn your Duke of Edinburgh
Award? To complete your Duke of Ed program you must learn a new skill, practice physical
fitness, do a community service and go on an expedition. Hmmm, sound familiar??

Girl Greatness 


In her own words…
Carleigh Milton, 16, is starting Rangers in Toronto this fall. This is a condensed version of the
speech she gave at the June 2008 Canada Cord ceremony in Mississauga.

I have been through the first four branches of Guiding - Sparks, Brownies, Guides, and
Pathfinders. That's 11 years!! That's a long time, yet I have been brought up with Guiding’s
morals and values all my life, what with my mom being a Scout leader turned Guider, and
all my sisters involved with Guiding. Even though I am the baby of my family, I am the only
one to receive my Canada Cord. Let's say I am just a bit more than pleased.

Guiding to me is truly a sisterhood.

In grade six I had a few bad days that happened to turn into a whole bad year! Yes, a tragedy –
well, at least to me. During that year I changed the way I acted and spoke. I was changing to
conform. Before that I had been the weird outgoing tomboy that everyone knew and probably
liked. That year I became a main member of the “it” crowd. I was the girl the guys liked, I
listened to the music everyone wanted to and I thought I was happy -- until I went to Doe Lake
Girl Guide Camp. That summer probably turned me into who I am today. I tried to conform to
the girls at Doe, act like they acted…and found that I couldn't. Everyone was so diverse and
different that there was no way I could conform. I found myself turning back into the weird nerdy
tomboy I was before, and all the girls and leaders there loved it!! They didn't care that I was
smarter than them but younger (yes I am a BIG nerd), they just thought I was a fun, easygoing
girl who didn't care what other people thought. Well that's who I turned out to be after that summer.

The next summer I felt I needed a change. I still wanted to go to Doe, but I decided I would join
the tripping section. That was probably one of the best choices I have made in my life so far.
Not only did it help me accomplish more than half of the work I needed to do for my
Canada Cord, but the friendships I made with the leaders and the other campers are amazing.
We talk to each other all the time. We only meet once a year for a two-week splurge at Doe,
but really that's all we need. Spending every night in the same tent and every day canoeing
together brings people together. Again, these people have made me into who I am today.
It's like in science where every animal has their own niche; during each summer it's like I am
making my own niche at Doe Lake. It's great to feel wanted and loved by family but almost --
ALMOST – better to feel so wanted and loved by friends.

Thank you to everyone for reading about my relationship with the Sisterhood. I hope you all
had an excellent summer. I know I did. Another year at Doe Lake, as a Leader in Training – finally!!

Congratulations!
3rd Hamilton/Dundas Cadets closed their Unit this summer with a celebration which saw the
three girls awarded the Commonwealth Award and one girl Dianne Cowlin was awarded the
Chief Commissioner’s Gold award. She is thrilled to have been awarded both the Isabel Kerr
Ontario Scholarship and a National Scholarship as she heads off to higher education this Fall.
